Challenge
Sales, purchasing and production data was spread across several systems; every management overview needed manual exports, and document checks were done by hand.
Solution
We connected AI securely to their business data and set up management dashboards and automated checking of incoming documents.
Result
Management has a daily view of the business without exports, and document checking is automatic and accurate.

What does your AI service cover?

The whole path: we say where to bring AI into your company, connect it to the systems you already use, build the solution, test it, roll it out into everyday use and keep it running. We take on the whole thing or only the part you are missing.

Who is it for?

For sole traders and small, medium and large companies, in Slovenia and abroad, at every stage: those just starting; those who have built a solution that now needs safe publication; those who got stuck along the way; and teams that need specific expertise.

Who is behind it?

IT TEAM d.o.o. from Maribor, which has developed software, built networks and infrastructure and looked after cybersecurity since 2006: more than 50 experts, more than 750 clients, ISO 9001, ISO 27001 and ISO 22301 certificates and its own security operations centre. We build our own products Imprion, FabriqAI and ConnectiCom with the same approach. We put AI on the same foundations as critical business systems, so you have one partner and one contract.

What if we have no IT team of our own?

We set up and run everything on IT TEAM infrastructure, which you can also rent. Our SOC and NOC monitor it and you get a named contact and a monthly report.

Do we have to replace our existing systems?

No. We connect to the systems you already use: ERP, CRM, document system, e-mail, databases. We build on your existing infrastructure, with no migrations and no interruption to work.

What do you need from us?

A project owner, the involvement of process owners in the assessment and first use and, from the second step on, access to the agreed systems and approval of permissions. The first step can run on our infrastructure, so the start does not depend on your access.

Can we work together only partially?

Yes, and it is a common path. As experts we can take you to the point from which you continue on your own, with documentation and knowledge that stays with you. Or we take on the whole thing and stay with you as a full partner. The decision is yours and you can change it at any time.

How long does implementation take?

Simpler solutions, such as questions over documents, reports and summaries, are running within days. The assessment takes two to three weeks. The full roll-out proceeds in steps, and you use the first solutions while it is under way.

How much does it cost and how is it paid?

Scope and price are set after the assessment; we prepare the quote after the introductory call. Payment follows completed and approved steps, with no advance.

Does the model learn from our data?

With business editions, model providers (for example Anthropic with Claude for Work and the API) do not use customer data to train models under their business terms. Consumer editions differ, so in companies we set up business access and check the terms before signing. For data that must not go to the cloud, we use local models.

Where does the solution run and where does the data stay?

Your choice: on your infrastructure, on IT TEAM infrastructure (rental is possible) or hybrid. In a hybrid setup, sensitive data is processed by a local model and local OCR. Only what you explicitly allow goes to the cloud, and the boundary is written in the configuration and verifiable in the logs.

How do you stop the AI making things up?

The solution answers from your data, not from the model's memory: access to the sources, a document index with a mandatory citation of the source and the place in the document, a test set with known correct answers and a minimum accuracy below which the solution does not go into use. In processes with an external effect, a person approves the output before it goes out.

How do you know the solution works well enough?

We set the measure before development: a test set of 50 to 200 cases, a minimum accuracy based on the risk of the process and an allowed share of human corrections. Every change to instructions, tools or model is re-tested on the same set before roll-out. In use we monitor quality on a sample, errors, response times and consumption.

We built a solution ourselves. Can you publish it?

Yes, it is a common way to reach us. We take the code under control, carry out a security review, set up testing and then roll it out into everyday use behind a secured entry point. The code stays yours. You develop it further yourself, together with us, or we take it over entirely.

Do you build custom AI agents?

Yes. We design the agent for a specific process. You decide what it may do on its own and where it must stop; the limits and per-tool permissions are written into the solution. It has to pass testing before roll-out, and in use we monitor and refine it.

How does the AI access the data in our ERP?

Through connectors we build for your system. Each tool gets the minimum permissions it needs, separately for reading and writing, and every access is logged. Existing systems do not need replacing and we do not touch their data schema.

How is the agent protected against misuse?

In several layers: minimum permissions per tool, separate reading and writing, written limits (value, quantity, type of case), mandatory approval before actions with an external effect, protection against instructions injected through documents and e-mail (prompt injection), monitoring of outbound traffic and an audit trail. Our SOC watches it in operation.

What does operation cost and how do you control it?

The cost is predictable because we measure it per task: for every process we know the average consumption and the cost per case. We reduce costs by choosing the right model for the task, caching repeated content and capping consumption at the entry point. Consumption and cost are on the monthly report.

What does the AI Act require of us as a user?

From 2 February 2025, an adequate level of AI literacy among employees who use it at work. From 2 August 2026, transparency: users must know they are interacting with an AI system, and machine-generated content must be labelled. Under the European Commission's proposal, the requirements for high-risk systems in Annex III are expected to be postponed to December 2027. We set up the register of AI systems, the risk assessment, documented human oversight and the documentation. Status: September 2026.

What happens when the provider updates or withdraws a model?

The model is replaceable by design: access runs through one controlled entry point, so a swap does not require rebuilding the connectors. With every update we run the tests on the same test set and compare with the previous version. We warn you of a change in quality before users notice it. This check is part of the monthly maintenance.

What is MCP, and does it tie us to one vendor?

MCP (Model Context Protocol) is an open standard for connecting AI to external systems and the basis on which we build the connections to your systems. In December 2025 Anthropic moved it under the Agentic AI Foundation at the Linux Foundation, and all major clients support it: Claude, ChatGPT, Microsoft Copilot, Gemini, VS Code and Cursor. The connection we build therefore stays usable even if you change the model or the tool.
